Keeping Recipe Information Consistent Behind a Growing Café Menu

Based in Bhaktapur, Cafe Boh serves coffee, tea, cold drinks, brunch, and other menu offerings. Managing a varied menu requires recipe information to stay accurate across preparation, ingredient costing, staff use, and everyday kitchen operations. As ingredient prices, preparation methods, and recipes changed, separate documents and manual calculations made it harder to maintain one reliable version of each recipe. Costing decisions also became more difficult when ingredient prices and recipe quantities weren't connected. Cafe Boh needed a more structured recipe management system — one that kept costing information useful for both kitchen operations and business decisions.

The challenge wasn't simply storing recipes digitally. Cafe Boh needed recipe instructions, ingredient costs, revisions, and staff-facing information to stay consistent as the menu changed, without adding more administrative work.

  • Too much manual administration: Maintaining recipes, updating costs, preparing kitchen documents, and controlling staff access across separate records required unnecessary management effort.

  • Inconsistent recipe information: Changes to ingredients, quantities, or preparation instructions could create multiple versions of the same recipe, increasing the risk of staff working from outdated information.

Ingredients and costs feed directly into recipe calculations, while version history keeps every change traceable and controlled. The same recipe record then supports different team roles and generates purpose-specific documents, without maintaining separate copies for every use.

Better Cost Control From One Reliable Recipe Source

By connecting recipe management with ingredient costing, Cafe Boh gained stronger control over both kitchen consistency and commercial performance. Within six months of adopting Recipe Studio, recipe costing time fell by 92%, while manual recipe administration dropped by 80%. Food-cost variance decreased by 63%, and the resulting cost visibility contributed to an 84% increase in menu gross margin. All figures reflect the six months following Recipe Studio implementation (March–September 2024), compared against Cafe Boh's pre-implementation operations. See methodology below.

Methodology

Figures were jointly tracked by Cafe Boh and AITC across a matched two-window comparison: the six months immediately before Recipe Studio implementation (September 2023–February 2024) versus the six months immediately after go-live (March–September 2024). The same core menu items and recipe set were used in both windows to keep the comparison like-for-like.

Recipe costing time — 92% reduction
Average staff time required to recalculate a single recipe's cost following an ingredient price change. Measured across a fixed sample of 40 recipes, timed under the prior manual/spreadsheet workflow and again under Recipe Studio's automated costing, with the same staff members performing both.
Manual recipe administration — 80% reduction
Estimated weekly hours spent updating recipe documents, printing kitchen references, and reconciling version records. Self-reported by Cafe Boh's kitchen management team via weekly time logs, averaged over each six-month window.
Food-cost variance — 63% reduction
Variance defined as the absolute difference between budgeted (recipe-calculated) cost and actual ingredient spend per menu item, expressed as a percentage of budgeted cost. Calculated monthly across the core menu set and averaged over each window.
Menu gross margin — 84% increase
Gross margin calculated as (menu revenue − cost of goods sold) ÷ menu revenue, using point-of-sale revenue data and Recipe Studio's ingredient-linked costing for COGS. Calculated for the same core menu items in both windows to isolate the effect of costing accuracy rather than menu or price changes.
