Turning Every Gallery Visit into Useful Business Data
The platform was designed to reduce front-desk effort, improve the quality of visitor information, and give gallery teams more useful data for operations, marketing, and follow-up. Annapurna Art Gallery manages exhibitions, artwork, visitors, staff, and sales while building relationships with collectors, art enthusiasts, and returning guests. Visitor information becomes more valuable when the gallery knows more than who entered the space. Interests, repeat visits, exhibition activity, discovery sources, and purchase history can all help staff understand their audience and make better decisions. AITC developed Annapurna Arts to bring that information into one gallery management platform, creating a structured visitor history that remains useful long after the initial check-in.
Visitor Information Lost Value After the Front Desk
The gallery needed more than a digital replacement for a guestbook. Visitor information had to remain useful across exhibitions, marketing, sales, and future visits without creating more administrative work for staff.
Business challenges
Slow repeat registration: Returning visitors could spend unnecessary time providing information the gallery had already collected, increasing front-desk effort during busy periods.
Limited audience visibility: Visitor interests and acquisition sources were difficult to evaluate consistently, leaving marketing and engagement decisions with less supporting data.
Technical challenges
Fragmented gallery records: Visits, exhibitions, interests, and purchase activity lacked a consistent relationship, making it harder to build a complete view of individual visitor engagement.
Solution we delivered
Discovery & planning
We reviewed how the gallery captured visitor sign-ins today — paper and memory — and mapped every point where interest data, sales, and staff permissions failed to connect.
Solution design
One Visitor Record Across the Gallery Experience
Annapurna Arts combines visitor registration, gallery administration, and analytics within one platform. Instead of allowing information to stop at the entrance, each interaction can add context to an existing visitor profile and give staff a more useful view of audience activity. Visitor check-in: Digital registration and QR-based identification simplify new and repeat visits, while offline handling supports front-desk continuity during temporary connectivity issues. Gallery operations: Staff manage visitor records, exhibitions, artwork, interests, lead sources, access controls, and related gallery information from the administrative environment. Analytics and engagement: Structured records support reporting around visitor trends, acquisition channels, interests, exhibition activity, conversion, revenue, and relevant follow-up.

Key functionality delivered
Offline-first kiosk check-in
A PWA service worker caches the kiosk interface and queues submissions locally, syncing automatically the moment Wi-Fi returns.
QR fast re-entry
Returning visitors scan a unique code instead of refilling the full form, turning repeat visits into a few seconds.
Visit-to-sale ledger
Every purchase links directly to the visit and artwork that produced it, connecting foot traffic to revenue for the first time.
Role-based access & audit trail
Viewer, Staff, and Admin roles are enforced via JWT and bcrypt, with every sensitive action logged to who did it and when.
Exhibition & artwork inventory
Exhibitions and artwork pricing, artist, and availability are managed from one dashboard, tied to the visits they draw.
Segmented email campaigns
Interest tags captured at check-in power targeted outreach via AWS SES, with recipient counts and delivery status tracked per send.
Delivery approach
We shipped the kiosk check-in and visitor ledger first so the gallery could start capturing structured data immediately, then layered in the admin dashboard, campaign tooling, and offline sync on top.

Methodology
Figures were tracked by AITC and Annapurna Art Gallery across a matched comparison: the 12 months of platform use, compared against the gallery's prior visitor and sales process, using the same point-of-sale and front-desk records in both periods.
- Visitor-linked revenue — 68% growth
- Sales attributed to visitors with a recorded check-in or profile, matched against point-of-sale transaction data, compared across the 12-month platform period versus the prior 12 months.
- Visitor volume — 185% growth
- Total recorded visitor check-ins (digital and QR-based), compared across the 12-month platform period versus the prior 12 months of front-desk records.
- Manual visitor administration — 54% reduction
- Estimated weekly front-desk hours spent on manual registration, repeat-visitor lookup, and record-keeping, self-reported by gallery staff before and after adoption.
- Visitor-to-purchase conversion rate — 47% growth
- Percentage of recorded visitors who completed a purchase during their visit or a tracked follow-up, compared across the 12-month platform period versus the prior 12 months.
Note: figures reflect Annapurna Art Gallery's specific audience, location, and exhibition schedule, and are not guaranteed for every gallery. Figures were not independently audited.
